Fathom Pricing & Implementation Cost: Finance Team Buyer's Guide

Fathom is the management-reporting, KPI and cash-flow tool that sits on top of Xero, QuickBooks and MYOB. Unusually for this market, it publishes its pricing — tiered by the number of company files you connect. Here is what you will realistically pay, who it suits, and where its limits are.

Disclosure: Metapraxis is an independent FP&A consulting firm with our own EPM platform (Empower). We have no commercial relationship with Fathom. The figures below are drawn from Fathom's own published pricing (fathomhq.com), independent review platforms (G2, Capterra, GetApp) and publicly available sources. A note on names: this is Fathom the financial reporting and forecasting tool for accountants and finance teams — not the unrelated "Fathom" AI meeting note-taker, which is a different company. Prices are quoted in USD; Fathom also bills in AUD, NZD, GBP, CAD and ZAR, with GBP relevance flagged for UK buyers. Figures are current as of mid-2026 and should be re-confirmed at the time of purchase. We will tell you honestly when Fathom is the right choice for a client, even when that means we are not the right partner.

What does Fathom cost?

Fathom does publish its pricing — a welcome contrast to most of the EPM market. Plans are tiered by the number of company files you connect, every plan unlocks all features with unlimited users, and billing is monthly pay-as-you-go with no contract. The tiers below reflect Fathom's vendor-published USD pricing; each row carries a source-confidence label.

One quick disambiguation: this guide covers Fathom (fathomhq.com), the financial reporting and forecasting tool. If you were searching for Fathom Analytics pricing — the privacy-focused website analytics product — that is an unrelated company; its plans start at around $15/month on its own site.

Goldup to 25 companies~$380 / monthVendor-published
Platinumup to 50 companies~$680 / monthVendor-published

Because all features are included on every tier, your monthly cost is driven almost entirely by how many entities you connect, not which capabilities you need. A single trading company pays the Starter price; an accounting firm or a multi-entity group climbs the tiers as it adds files. UK buyers should note Fathom prices in USD by default but offers a native GBP option (alongside AUD, NZD, CAD and ZAR) — confirm the GBP tier in the on-site calculator rather than budgeting a converted USD figure.

Fathom also offers a separate, lower-cost Portfolio subscription aimed at accounting firms that need at-a-glance oversight of a large client base without the full Pro feature set on every company. If you are an advisory practice, model Pro vs Portfolio (and the upgrade path between them) before committing.

Onboarding cost and timeline

Fathom is a connect-and-go reporting tool, not a configured planning platform — so there is rarely a formal "implementation" line item. Most of the cost is your own (or your accountant's) time spent mapping the chart of accounts, defining KPIs and building report templates. There is no professional-services tax of the kind you see with a configured EPM build.

Setup typeTypical effort / costTimeline
Single-entity (Xero / QuickBooks connect, default reports)Self-served, internal time only1–2 days
Custom KPIs, account mappings, branded templatesInternal time or light accountant support1–2 weeks (part-time)
Multi-company, multi-currency consolidationInternal time or advisor; per-entity mapping2–3 weeks (part-time)

For most teams, the all-in Year-1 total cost of ownership is simply 12 months of the subscription tier plus a modest setup investment of internal time — typically well under $10,000 all-in even at the Gold/Platinum tiers, far below the five- and six-figure Year-1 costs of configured planning platforms. That low TCO is the headline reason finance teams pick Fathom — but it reflects narrower scope, which we cover below.

Fathom is consistently well rated on independent platforms — roughly 4.5/5 across G2, Capterra and GetApp (confirm the live counts at purchase). Reviewers praise how quickly polished, board-ready reports can be produced and how easy the tool is to learn. The most common criticisms are that it is reporting-led rather than a planning engine, and that performance can slow with many concurrent users on large portfolios.

Hidden and recurring costs to model

  • Per-company creep: the tiers are generous, but every additional entity beyond your tier carries a per-company add-on. Multi-entity groups should model the file count they will actually reach, not where they start.
  • FX exposure: if you take the USD list rather than the GBP option, your effective cost moves with the exchange rate. Confirm whether you are billed in GBP to avoid a moving target.
  • Pro vs Portfolio mismatch: firms that buy full Pro for clients who only need oversight can overspend; the reverse leaves you upgrading mid-stream. Right-size the subscription type per company.
  • Adjacent tooling: Fathom reports beautifully but does not budget or plan in depth. Teams often end up pairing it with a spreadsheet or a planning tool — a real cost to fold into any comparison.

What Fathom does particularly well

Fathom's defining strength is fast, beautiful management reporting on data you already have. Connect Xero, QuickBooks or MYOB and within minutes you have KPI dashboards, variance analysis, cash-flow forecasting and board-ready branded reports — with very little learning curve. For small businesses and advisory firms, that speed-to-insight is the whole value proposition.

  • Management reporting & KPIs: polished, customisable, board-ready reports and dashboards out of the box.
  • Cash-flow forecasting: three-way cash-flow forecasting layered on actuals from the ledger.
  • Consolidation: multi-company, multi-currency consolidated reporting — strong for groups and portfolios.
  • Integrations: native ties to Xero, QuickBooks, MYOB and Sage, plus Excel and Google Sheets for import/export.
  • Ease of use: repeatedly cited as one of the easiest tools in the category to adopt.

Where Fathom has limits

  • Reporting tool, not a full planning platform: Fathom is fundamentally backward-looking — excellent at reporting and analysis, but not a driver-based budgeting, modelling and workforce-planning engine. If you need bottom-up planning, consider Jirav or Datarails.
  • Accruals & revenue recognition: handling of accruals and revenue recognition is comparatively weak; complex recognition logic belongs upstream in the ledger.
  • Balance-sheet mappings: balance-sheet mapping flexibility is more limited than the P&L side — verify your required statements in a trial.
  • Concurrency: performance can slow with many simultaneous users or very large portfolios.

Who should consider Fathom — and who shouldn't

Fathom is well suited to:

  • Small and growing businesses that want polished management reporting on Xero, QuickBooks or MYOB
  • Accounting and advisory firms reporting across a portfolio of client companies
  • Groups needing multi-company, multi-currency consolidated reporting without a heavy build
  • Teams that value speed-to-insight, low cost and ease of use over deep planning capability

Fathom is less suited to:

  • Teams that need driver-based budgeting, workforce planning and scenario modelling (consider Jirav)
  • Finance functions that want an Excel-native planning-and-reporting platform (consider Datarails)
  • Organisations with complex accruals or revenue-recognition requirements better handled upstream

Metapraxis advises on reporting and planning platform selection as part of our Software Project Services. We have no commercial relationship with Fathom, Jirav, or Datarails — so our advice is shaped by your requirements, not by implementation revenue.

Questions to ask before committing to Fathom

  • How many company files will we realistically connect in 12–24 months — and which tier does that land us on?
  • Will we be billed in GBP, or are we taking a USD list exposed to FX?
  • Do we need full Pro on every company, or is Portfolio the right fit for some?
  • Is reporting and cash-flow forecasting our actual need — or do we also need bottom-up planning Fathom won't cover?
  • How does Fathom map our balance sheet, accruals and revenue recognition against our requirements?
  • Who will own the KPI definitions, mappings and report templates internally?

Frequently asked questions

How much does Fathom cost?+

Fathom publishes its pricing, tiered by the number of company files: Starter ~$50/mo (1), Silver ~$260/mo (10), Gold ~$380/mo (25) and Platinum ~$680/mo (50), with per-company add-ons beyond each tier. Billing is monthly, no contract. Prices are USD with AUD, NZD, GBP, CAD and ZAR options (USD, mid-2026 — confirm the live GBP tier).

How long does Fathom take to implement?+

It's connect-and-go: a clean single-entity setup on Xero or QuickBooks can be live in a day or two. Custom KPIs, account mappings and branded templates, or a multi-company multi-currency consolidation, typically take one to three weeks of part-time effort, usually self-served or with light accountant support.

Is Fathom cheaper than Jirav or Datarails?+

Generally yes. Fathom's published tiers (~$50–$680/mo) sit below Jirav and well below Datarails. But it's cheaper because it's a reporting, dashboarding and cash-flow tool rather than a full driver-based planning platform — compare on scope, not just price.

Who is Fathom best for?+

Small businesses, accounting firms and advisory practices that want fast, polished management reporting, KPI tracking and cash-flow forecasting on Xero, QuickBooks or MYOB — especially where multi-company or multi-currency consolidation is needed without a full FP&A build. See also FP&A as a Service and our FP&A glossary entry.

Is Fathom the same as Fathom Analytics?+

No. Fathom (fathomhq.com) is the financial reporting, analysis and cash-flow forecasting tool covered in this guide, priced from ~$50/mo per company file. Fathom Analytics is an unrelated, privacy-focused website analytics product with plans from ~$15/mo.
