Prophix Pricing & Implementation Cost: Finance Team Buyer's Guide

Prophix is the consolidation-strong EPM platform built for multi-entity mid-market finance. Its average contract is large, the renewal escalators have steepened since private-equity ownership, and the real cost lives in implementation and the annual support programme. Here is what you will realistically pay — in USD and in GBP for UK buyers — who it suits, and where its limits are.

Disclosure: Metapraxis is an independent FP&A consulting firm with our own EPM platform (Empower). We have no commercial relationship with Prophix. The figures below are drawn from third-party transaction databases (Vendr), UK public-sector G-Cloud procurement records, independent analyst intelligence (G2, Capterra, Gartner Peer Insights), and publicly available sources. We quote USD (Prophix's North American base currency) alongside GBP, because Prophix holds live UK G-Cloud records that make sterling pricing unusually transparent for a vendor of this type. Figures are current as of mid-2026 and should be re-confirmed at the time of purchase. We will tell you honestly when Prophix is the right choice for a client, even when that means we are not the right partner.

What does Prophix cost?

Prophix does not publish list pricing. Contracts are custom-quoted across five licence types, scaling with the number and role of users, the modules deployed (planning, reporting, financial close & consolidation), and the contract length. Two independent sources triangulate the range: Vendr's database of observed Prophix transactions, and — unusually helpfully — Prophix's own UK G-Cloud 14 listing, which publishes a real sterling band. Each row below carries a source-confidence label.

UK buyers, start here. Because Prophix maintains a live G-Cloud 14 record on the UK Digital Marketplace, sterling pricing is genuinely observable rather than an FX conversion of a USD list. The published band runs £20,000–£90,000 per annum for licensing, with the vendor's own G-Cloud document quoting a typical £30,000–£80,000 per annum on a three-year subscription. That makes Prophix one of the few EPM platforms where a UK finance team can benchmark a real public-sector procurement figure before the first sales call. Treat £20k–£90k as the licensing band and add implementation (below) on top.

The gap between the UK G-Cloud floor and Vendr's ~$205,500 average ACV reflects scope: large, multi-entity consolidation deployments with several licence types pull the global average up, while a single-entity UK planning build sits near the bottom of the band. For a group replacing spreadsheets or a legacy Hyperion/BPC estate across budgeting, forecasting, reporting and consolidation, plan toward the middle-to-upper part of the range. Negotiation levers include multi-year commitments, right-sizing the five-licence mix, and competitive benchmarks against Vena and Planful.

Implementation costs and timeline

Implementation is the largest variable in Prophix's total cost. It is delivered by Prophix professional services or a certified partner, and — like most configurable consolidation platforms — it is complex enough that a consulting and support package is effectively mandatory rather than optional. Independent estimates put implementation at 25–35% of first-year spend.

Engagement typeTypical costTimeline
Standard mid-market deployment (planning + reporting)$30,000 – $70,000 USD
(£25,000 – £55,000)
10–16 weeks
Multi-entity consolidation + intercompany elimination$60,000 – $120,000 USD
(£45,000 – £90,000)
4–6 months
Enterprise / complex ERP integration$100,000+ USD
(£80,000+)
5–9 months

For most mid-market finance teams, the all-in Year-1 total cost of ownership is $120,000 – $350,000 (roughly £90,000 – £280,000), with large multi-entity deployments reaching $500,000+ once licensing, implementation and integration are combined. Prophix's new Architect Agent (see below) is designed to compress model build — confirm any time-to-value or implementation-discount claims directly with Prophix or your partner before relying on them in a business case.

Prophix holds a G2 rating of approximately 4.4/5 across roughly 210–220 reviews, and a Capterra rating of 4.6/5 across about 122 reviews (confirm the live counts at purchase). Reviewers consistently praise ease of use relative to legacy tools such as Oracle Hyperion and SAP BPC, and the strength of multi-entity consolidation; the most common criticisms are rigid report formatting and the consultant time needed for deeper customisation. Prophix is a recognised participant in Gartner Peer Insights for Financial Planning Software.

Hidden and recurring costs to model

  • Renewal escalation has steepened under PE ownership: following Hg Capital's majority investment, customers report 7–12% annual renewal increases — above the 3–8% norm for the category. One buyer negotiated the year-over-year increase down to 5% by committing to a three-year deal. Model this across the full contract term, not just Year 1.
  • Additional user licences: incremental seats are commonly quoted at around $500/month per user. With five licence types, mis-classifying users is a frequent source of overspend — audit the seat mix before signing.
  • Annual support programme: Prophix's support and success programme is widely described as expensive and relatively inflexible. Confirm exactly what tier is bundled versus billed separately.
  • Implementation overruns: as with any configurable consolidation platform, scope creep on the data model, intercompany logic or close calendar is the most common reason Year-1 cost exceeds the original quote.

What Prophix does particularly well

Prophix's defining strength is native multi-entity consolidation with intercompany elimination — a genuine close-and-consolidate engine rather than a planning tool with a consolidation bolt-on. For groups of five or more legal entities, this is where Prophix earns its premium over lighter mid-market platforms that cannot consolidate at depth.

  • Consolidation depth: native multi-entity, multi-currency rollups with intercompany elimination and a structured financial close — strong for complex group reporting.
  • User-friendly vs legacy: repeatedly cited as easier to own and administer than Oracle Hyperion or SAP BPC, the platforms it most often replaces.
  • AI included as standard: as of April 2026, Prophix Copilot (for Microsoft Teams) and the Architect Agent are available to all Prophix One customers as part of the standard subscription — the Architect Agent is positioned to turn customer data and reports into a validated model in hours rather than weeks.
  • Workflow and audit: structured contributor submissions, approval chains and audit trails over the planning and close process.

Where Prophix has limits

  • Rigid report formatting: the most frequently cited limitation — output formatting is constrained and pixel-level control can be frustrating for teams with exacting board-pack standards.
  • Customisation needs consultant time: deeper changes typically require partner or professional-services involvement rather than self-service, which feeds the implementation and support cost.
  • Limited mobile app: the mobile experience is narrow; confirm parity for any workflows you expect to run away from a desktop.
  • Vendor stability and pricing trajectory: Prophix is stable and well-capitalised — Hg Capital took a majority stake in a deal valuing the Mississauga company at US$500–600M (announced January 2021, with employees retaining a 20–30% stake, per The Globe and Mail). The trade-off of PE ownership is the steeper renewal escalation noted above; factor the ownership model into your multi-year cost model, not just the headline licence.

Who should consider Prophix — and who shouldn't

Prophix is well suited to:

  • Mid-market and lower-enterprise groups with five or more legal entities needing native consolidation with intercompany elimination
  • Finance teams migrating off Oracle Hyperion or SAP BPC who want a more user-friendly platform without losing close-and-consolidate depth
  • UK buyers who value a transparent, benchmarkable GBP licensing band via G-Cloud
  • Organisations that want planning, reporting and a structured financial close in one platform, with AI agents included as standard

Prophix is less suited to:

  • Excel-centric teams that want analysts to keep modelling in spreadsheets (consider Vena)
  • Single-entity SMBs that do not need consolidation and would overpay for it
  • Teams with exacting board-pack formatting needs who cannot tolerate rigid report layout
  • Buyers without budget for the consulting and support package that a Prophix build effectively requires

Questions to ask before committing to Prophix

  • What is our exact mix across the five licence types — and have we right-sized it before signing?
  • What is the annual renewal escalator, and can we cap it at 5% (or lower) with a multi-year term, as other buyers have?
  • What does each additional user licence cost per month, and how are role changes re-priced mid-term?
  • Is the consolidation and intercompany-elimination scope fixed-price or time-and-materials?
  • Exactly which support tier is bundled, and what does the next tier up cost?
  • For UK buyers: does the G-Cloud band apply to our deployment, or are we being quoted off a separate commercial list?
  • Who will own and administer the platform internally once the partner leaves?

Frequently asked questions

How much does Prophix cost?+

Prophix does not publish list pricing. Vendr reports an average contract of around $205,500/year (range $50,000–$500,000), and UK G-Cloud records put annual licensing at roughly £20,000–£90,000. With implementation included, all-in Year-1 cost is usually $120,000–$350,000, or about £90,000–£280,000 (mid-2026).

How long does Prophix take to implement?+

A typical mid-market deployment takes 10–20 weeks depending on source systems, data-model complexity, and whether multi-entity consolidation with intercompany elimination is in scope. Implementation commonly runs 25–35% of first-year spend — about $30,000–$100,000+, with UK partner builds typically £40,000–£80,000.

Is Prophix cheaper than Vena or Planful?+

Prophix's average contract (~$205,000) is generally higher than Vena's median (~$27,000) and broadly comparable to Planful for mid-market deployments. Its native consolidation with intercompany elimination can justify the premium for groups of five or more entities, but annual renewal escalators should be modelled into any comparison.

Who is Prophix best for?+

Mid-market and lower-enterprise groups of five or more legal entities that need native multi-entity, multi-currency consolidation with intercompany elimination alongside planning and reporting — particularly teams migrating off Hyperion or SAP BPC. See also EPM Consulting and What Is EPM?
